Use this family week planner template to put commitments, pickup arrangements, dinner and preparation on one sheet. Copy the blank block below into a document or notebook, add dates and names, then check the arrangements with the people involved before treating the week as settled.

The template is available here without a purchase or sign-up. It is a weekly working view: keep booking details and future dates in your usual calendar, then bring across what matters for the next seven days.

Copy the one-page template

Copy from “Week beginning” through “Before using this sheet”. For a printed version, start with an A4 landscape page and check print preview. Adjust column widths and shorten entries if needed, while keeping the writing readable. Print the template block, rather than the whole article.

Before using this sheet: [ ] Dates checked [ ] Pickups agreed [ ] Preparation assigned [ ] Changes shared

Fill it in using this checklist

1. Add the commitments that shape the day

  • [ ] Check your usual calendar, current work roster and original school or activity notices.
  • [ ] Write the date beside each day, especially across a month change.
  • [ ] Add the person, time and location for each commitment that affects someone else’s arrangements.

Start with shifts, appointments, activities and changes to the normal school day. Write “Alex: work until 6 pm” if that changes collection or dinner. Skip details that nobody needs on this sheet.

For notices that have not yet reached the calendar, use the school notices organisation guide as a separate reference. This template begins with the commitments you have checked; it does not replace the original notice.

2. Agree on pickups and travel

  • [ ] Name the adult responsible for each collection that needs coordination.
  • [ ] Include the time and meeting place where they differ from the usual arrangement.
  • [ ] Move unconfirmed arrangements into “Still to confirm”, with someone responsible for checking them.

Do not use a name in the pickup column as a substitute for asking that person. If one adult handles the whole week, a short note such as “Sam: usual school pickup” is enough where the arrangement is clear. Record the exceptions explicitly.

3. Add a short dinner note

  • [ ] Mark who will be home or eating later.
  • [ ] Add the dinner you have chosen, or leave a visible “decide” note.
  • [ ] Keep the recipe and shopping list elsewhere.

This column is optional. Replace it with “Home tasks” if food is already managed separately. If choosing the meals is the unfinished job, the weekly meal-planning method covers that process. The weekly sheet only needs the result, such as “Pasta; Jo home late”.

4. Put preparation before the event

  • [ ] Check which commitments require something packed, returned or confirmed.
  • [ ] Put the preparation action on the day it needs doing.
  • [ ] Give it an agreed owner and a deadline.

For a Thursday library day, Wednesday’s action could be “Lee: put library books in bag after dinner”. For a permission form, use the actual deadline from the notice and choose when to complete it. Avoid an entry such as “excursion” that leaves the next action unclear.

Raising Children Network describes routines as clarifying who does what and when, with roles that are reasonable and fair. Use that principle when agreeing on preparation jobs. The particular columns and checklist here are Dovelyne editorial suggestions.

See what a filled row looks like

This is an illustrative entry, not a real household’s schedule:

Day / dateFixed plans: who, time, placePickup / travel: who, timeDinner / who is homePrepare: action, owner, due
Thursday 24 SeptCasey: swimming, 4 pm, local poolJo: school pickup, 3 pm; drive to poolPasta; Alex home lateAlex: pack library books with Casey for Friday, after dinner

The swimming bag belongs in Wednesday’s preparation cell if it needs packing the night before. Keep the row brief, but include enough detail for the person doing the job to act without guessing.

Adapt the sheet to your household

Changing shifts: Start your review when the roster arrives. If your planning week begins on a different day, move that row to the top. Mark unknown arrangements as unconfirmed rather than filling them with assumptions.

Several children: Put a name or initials at the start of each entry. If a day becomes crowded, keep only shared logistics here and leave full activity details in the calendar. Do not shrink the print until the sheet is difficult to read.

Two households: Agree which arrangements need sharing and use your existing communication channel. Each home can keep its own preparation notes. Confirm collection changes directly with the adult involved.

Limited display space: Keep the page in an accessible folder or on an existing shelf. The family command centre setup guide covers choosing a place for the plan and incoming paper.

Check changes before carrying the plan forward

When an arrangement changes, update the main calendar and the relevant weekly cell, then tell anyone whose task has changed. For a same-day pickup change, obtain confirmation directly. A corrected sheet alone does not tell you whether the collecting adult has seen it.

At the next review, cross off completed actions and check unfinished ones before copying them forward. Leave unused cells empty; the page does not need a task in every space.

Copy the blank block now and fill in the fixed commitments for your next seven days. Leave uncertain arrangements in the confirmation line until they are agreed.
