Do a stocktake before you buy anything. Tip out the pencil case and school bag, match the contents against the original school list, and sort everything into keep, fix and missing. A mid-year top-up should be a short replacement list, not a repeat of the start-of-year shop.

Why the mid-year break is the point to check

The July school holidays sit between Term 2 and Term 3 in every state, though the exact dates differ. In New South Wales, Term 2 finishes on 3 July 2026, the break runs from 6 to 17 July, and Term 3 begins on 21 July. In Victoria, Term 2 ends 26 June, the break runs 27 June to 12 July, and Term 3 starts 13 July. Whichever week your state breaks, it sits at roughly the halfway point of the school year, which makes it a sensible moment to check supplies rather than waiting until something runs out mid-lesson.

What you need before you start

  • The original school stationery list, or this year’s supply list if one was issued
  • Everything currently in the pencil case, desk tray or stationery section of the school bag, tipped out in one place
  • A note on paper or your phone to record what is actually missing

Steps

1. Empty the pencil case and match it to the list

Lay everything out and check it against the original list rather than working from memory. A former teacher quoted in one retailer’s back-to-school advice content describes doing this at the end of every term: going through everything, relabelling anything that has lost its label, sharpening pencils and noting what is missing.

2. Sort into keep, fix and replace

Most stationery only needs sharpening, a wipe or a new label, not replacement. Set a smaller pile aside for anything genuinely worn out, dried out or broken.

3. Check the categories that are actually reported as missing

Survey data cited in that same retailer’s advice content names wearing out, being lost and being broken as the leading reasons families replace items mid-year, and lists pencils, rulers, drink bottles and pencil sharpeners among the items most often reported missing. These are useful categories to check specifically, rather than assuming the whole kit needs replacing.

4. Match any replacement to the original specification

Before buying, check the exact description on the original list: pencil grade, exercise book size and ruling, sharpener type. For the original checklist by school stage, see what stationery a primary school child actually uses or stationery for high school subjects. A close substitute instead of the specified item risks a second trip.

5. Shop from the short list only

Take the missing-items note when you buy. Leave out a new pencil case, a full new set of colouring supplies or bulk packs of items that are only partly used. The point of a mid-year top-up is that it stays smaller than the original shop.

When it does not work

If the stocktake turns up more than a handful of missing or broken items, or your child has moved into a subject or year level with different requirements partway through the year, check the current school list again rather than estimating quantities from what used to be needed. A genuine change in the school’s requirements is not something a stocktake alone will catch.
